How the catering quote calculator works
Good to know
Price per plate, the simple way
Cost per guest ÷ (1 − profit %). For 30% profit, a ₹170 cost per guest becomes ₹170 ÷ 0.7 = ₹243, rounded up to ₹245.
Common mistakes in event pricing
- Forgetting the extras: water bottles, plates, staff food and transport add ₹15–40 a guest.
- Cooking exactly to head count: second helpings and spillage need 5–10% more.
- Old costs: chicken and oil move every week — update your price list before quoting a big order.
Catering Quote Calculator — FAQs
How do I price a catering order per plate?
Add up the food cost for every dish (cost per portion × portions per guest × guests, plus 5–10% extra), add disposables, staff, transport and gas, then divide by the number of guests. That is your cost per plate. Divide it by (1 − the profit % you want) to get the price per plate — for 30% profit, cost ÷ 0.7.
How much extra food should a caterer cook?
Most caterers cook 5–10% more than the head count for second helpings and kitchen loss. Buffets and events with uncertain numbers often go to 10–15%. Set it in “Cook extra”; the quantities and cost include it.
Where does the cost per portion come from?
From the Food Cost Calculator: cost one plate (or a whole batch, divided by portions) and save it. When you are logged in, “Add from my recipes” fills the cost in for you.
Does the quotation show my costs?
No. The PDF and WhatsApp quotation show the menu, the price per guest, GST if you add it, the total and your notes — never your costs or profit.
